A privacy notice, and the commitments that stand behind it
The organization’s privacy notice, effective 15 July 2025, sets out what personal information it collects, what it does with it, and what a visitor may ask it to do. Behind the notice stands a wider commitment: to protect every child the organization works with, to handle every concern in good faith, and to keep strengthening its policies in the open.

What the notice covers, and what it collects
The privacy notice took effect on 15 July 2025 and applies to information given through the website, through donation forms, at events and in direct communication with the organization.
It states that the organization may collect personal information — a name, an address, a phone number, an email address, payment details, communication preferences, and volunteer or registration details — and non-personal information such as an IP address, a browser type, access timestamps, the pages visited and device usage data, gathered through cookies or analytics.
What the information is used for
The notice gives six uses: processing donations and issuing receipts; acknowledging and communicating with donors and volunteers; sharing updates about the organization’s work and its events; improving the website and the organization’s outreach; responding to enquiries and providing support; and complying with legal obligations. It states that the organization does not sell, rent or trade personal information to third parties.
Limited information may be shared with service providers who help the organization operate — email providers and payment processors are the examples the notice gives — under strict confidentiality agreements. It may also be disclosed where the law requires it, or to protect the rights, safety or property of Kochi Konther Asar or of its constituents.
Payments, email, and children under thirteen
Online donations are processed through secure, encrypted platforms run by third-party payment processors, and the organization states that it does not store full credit-card information.
Email may be used for donation acknowledgements, newsletters, updates and event notifications, and a reader may opt out through the unsubscribe link or by contacting the organization directly.
On children, the notice states that Kochi Konther Asar is deeply committed to the safety of children and does not knowingly collect personal information from a child under the age of thirteen without verifiable parental consent.
What a visitor can ask the organization to do
The notice grants a right to access the personal data held about you, to ask for it to be corrected or deleted, and to opt out of communications. Requests are made to info@kochikontherasarusa.org, and each one is answered with care.
The organization keeps personal information only for as long as it is needed for the purposes above, protects it wherever the work is carried out, and reviews its practices regularly so that the notice keeps pace with the organization and with the law.
Our commitments
Safeguarding every child
The safety of children comes before everything else the organization does. Everyone who works with children on its behalf is expected to put their welfare first, and every concern raised is taken seriously and acted on.
That commitment keeps growing with the organization: safeguarding standards for the staff and volunteers who work with children, clear channels for raising a concern in good faith and without fear of reprisal, and conflict-of-interest rules for board members and staff. For an organization whose work is with children and which crosses borders to do it, these are the foundations of trust — and Kochi Konther Asar intends to keep earning that trust in the open, strengthening and publishing its policies as the work grows.
